Define your key reference data

For each employee it is worth entering the details that determine how many days of annual leave they have, and how taking that leave, or any other absence, will affect how the company organises its work. It is therefore worth defining the following reference data in your business software:

  • Organisational units within the company. Every company should do this in line with how it is structured. Defining organisational units makes it possible later to produce good reports for each unit individually, and gives you better visibility of who is available.
  • Job roles. Job roles should be defined within each organisational unit.
  • Non-working days. Non-working days should be defined for each year so that they are correctly deducted from annual leave.

Define the criteria that determine how much annual leave someone gets

Every company can define the criteria determining how many days of annual leave each employee receives in its own way. It is worth setting these out as individual items with the number of days each one earns. For example:

  • Health status = 2 days
  • Years of service = 2 days
  • Complexity of the role = 1 day
  • Number of children = 1 day

Draw up a leave plan

Once you have defined the necessary reference data and the criteria for awarding leave, you need to draw up a plan for taking it. A table with the following columns works well:

  • Employee name and surname
  • Start of leave. When the employee plans to go on leave.
  • End of leave. When the employee plans to return.
  • Number of working days. How many working days fall within the planned leave period.
  • Days remaining. How many days the employee has left to plan.
